Google Meet and Microsoft Teams links (and importing transcripts)
What this does
Section titled “What this does”Puts a Google Meet or Microsoft Teams link in every remote appointment. The link is created through your own synced calendar and sent with the invitation. Dial-in numbers are included when your Google Workspace or Microsoft 365 plan provides them.
Optionally, after a call where transcription was switched on, you can press a button to save the text transcript onto the customer as a file. Never the recording, only the text.
Before you start
Section titled “Before you start”- You need Calendar Sync connected to a Google or Microsoft 365 calendar (not iCloud). See Calendar Sync.
- Then turn on the AysOps for Google Meet and Microsoft Teams add-on.
- Transcripts need Google Workspace Business Standard or higher (Meet), or a Microsoft 365 plan that includes Teams (Teams).
Add a link to an appointment
Section titled “Add a link to an appointment”- Create a remote appointment on the calendar (see Create an appointment).
- Under Video call link, choose Google Meet or Microsoft Teams (or Zoom if you also have that add-on, or No link).
- Save. The link is in the invitation and the .ics file. If you move the appointment, the link stays with it.
Turn on transcript import
Section titled “Turn on transcript import”- Go to Settings → More → Integrations → Calendar Sync.
- Turn on Google Meet or Teams transcript import and confirm.
- 🔴 Microsoft Teams only: Microsoft ships transcript access switched off for every organisation. AysOps detects this and puts the fix on your to-do list: your Microsoft 365 administrator turns on Transcript API access in the Teams admin centre (Meetings → Meeting settings), or runs the PowerShell command shown (Copy PowerShell command). Wait a few minutes, then press Check transcript access.
Fetch a transcript after a call
Section titled “Fetch a transcript after a call”- After the meeting, a reminder appears on your to-do list to import the notes. It counts down for seven days, then removes itself.
- Open the appointment and press Get Meet transcript or Get Teams transcript.
- The text is saved as a file on that appointment’s customer. It counts towards your storage.
Nothing is ever fetched automatically: a person presses the button each time.
With AysOps AI you can also turn a saved transcript into a draft estimate (Estimates, From a worksheet, From a meeting). With Online Booking, customers who book a remote appointment themselves get a Meet or Teams link automatically.
Call finished early? Press Meeting ended early on the appointment so you can fetch its transcript sooner.
If something goes wrong
Section titled “If something goes wrong”- “This Microsoft account can’t create Teams meetings yet”: the account has no Teams licence. The booking screen says so instead of leaving the link off.
- “Still switched off in your organisation”: the Teams setting hasn’t taken effect. Give Microsoft a few minutes after saving, then Check Teams again.
- No transcript found: transcription wasn’t switched on during the call, or your plan doesn’t include transcripts.
- If the add-on ends or you disconnect the calendar, saved transcripts are deleted. The links already on your appointments stay.
