Take a deposit or full payment when customers book

Asks customers to pay a deposit or the full price by card on your booking page before their booking is confirmed. It cuts down on no-shows. When they pay, they get a receipt and a work order is created for you with the payment already recorded on it.

  • You need Online Booking and AysOps Payments With Stripe, with your Stripe account connected. See Let customers pay invoices online.
  • The service must have a price: a time rate above $0. Free services don’t show any payment choices.
  1. Click Online booking, then the pencil on the service (or Add for a new one).
  2. Choose a Time rates price above $0.
  3. Under Payment up front, choose When they book:
    • Nothing: invoice it afterwards (the default).
    • Take a deposit: enter the Deposit amount. It must be less than the total including taxes.
    • Request full payment: the full price of the booking, taxes included, worked out from the time rate and the length.
  4. Optionally choose the prefix for the work order number this booking will create.
  5. Click Save.

If your Stripe account isn’t ready to take payments, saving is refused with a message saying what’s missing.

After picking a time and filling in their details, they pay by card (or a wallet such as Apple Pay) on the booking page. Paying confirms the booking: there’s no confirmation email to click. The time is held for them while they pay (30 minutes to start; see Booking rules). If they don’t finish, it goes back up for anyone to book.

  • The customer gets a receipt.
  • A work order is created for the booking, with the payment recorded on it as a deposit. You’re emailed when a deposit is paid.
  • If the customer cancels a paid booking, you get a to-do to decide on a refund. Nothing is refunded automatically. See Refund a payment.
  • “The deposit must be less than the total including taxes”: choose Request full payment to take it all.
  • “That is below the smallest amount card payments accept (50¢)”: enter a larger amount.
  • I don’t see Payment up front: the service is free (no rate, or a $0 rate).
