Currencies (CAD and USD)

Explains how AysOps handles Canadian dollars (CAD) and US dollars (USD), so you can bill customers on both sides of the border.

Setting Where What it decides
Default currency Settings → Profile → Business The currency new documents start in, unless the customer has their own.
A customer’s currency Set when you create a document in a different currency and tick Bill this customer in [currency] from now on The currency that customer’s later documents start in.
A document’s currency When you create an estimate or work order The currency of that one document. Each document uses one currency only.
Platform billing currency Settings → Profile → Business The currency AysOps bills you in. Separate from the others, and locked after your first purchase.

A new estimate or work order picks its currency in this order: the one you choose → the customer’s currency → your default currency.

Every time rate, product, travel rate, discount (fixed amount) and deposit preset has its own currency (CAD or USD). Most lists in Settings → Pricing have a Currency filter.

You can only add items in the same currency as the document. When you add a line, the Fill from product, Fill from recurring and Rate lists only show items in the document’s currency, and say how many others are hidden, for example:

“3 CAD products hidden — this document bills in USD”

If an item in another currency is added some other way, AysOps refuses it with a message like:

“Help Docs Test Part is priced in CAD and this document is in USD. A document can only use one currency — change the document’s currency, or add an USD version of the item.”

So, if you bill some customers in USD, create USD versions of the rates and products you use for them (for example “Standard Labour (USD)”).

Amounts are never converted between CAD and USD. On the dashboard, each currency gets its own line (for example “CA$12,000.00” and “US$800.00”).
